The (C) rule in Artin Crown’s events
Most people see organizing an event as a daunting task. But with some creativity and a few well-executed tactics, you can turn your event into a dazzling success! In today's post, we are going to go over ten simple strategies that will help you organize your event like a pro. The five Cs of organizing an event are common, but at Artin Crown, we believe in 10 Cs.
1. Conceptualize your event before you do anything else. It is important that you sit down and think about what you want to achieve at the event. If it's a graduation ceremony, a film festival, or a political forum, you must set up a plan. The key here is having a clear goal, and writing down the script of your event, step-by-step.
2. Confirming your audience is the second step toward planning a successful event is understanding whom you are targeting. Your audience differs from in-person and virtual attendees. Once your audience is determined, the next phase is to design a strategy to engage them appropriately using the above techniques in planning and advertising.
3. Creative ideas follow having a clear idea. Once you have a clear idea of your target audience and event concept, the next step is to get creative with your ideas. This is particularly important for first-time organizers since it requires building confidence in your ability to execute your vision. The best way to come up with a creative idea is to brainstorm with members experienced in event planning. It is important to keep an open mind during this process because you never know what great ideas you might stumble upon along the way. At the red-carpet event of the “Rangar” album release on September 8, 2021, a panel discussion about art and culture was also held which attracted a lot of exposure.
4. Coordinate with key resources as it is important to work with people who are in a position to make key contributions through the planning of the event. For example, consider your venue, caterer, photographers, additional authority, etc. It can be helpful to bring these people on board early in the process so you can develop a timeline and assign responsibilities as needed.
5. Convert your ideas and sketches to 3D images to be able to visualize your event better as well as provide better feedback to your contractor and/or designer. The stage is always the most important element of your event. Once it's set, all the other elements will fall into place.
At Artin Crown, 3D images that include all the small details are always prepared in the pre-event stage and shown to the client before implementation.
6. Coverage and social media management are imperative to the success of your event. You can accomplish this by hiring a reputable PR firm or choosing a full-service event planning company that can take care of everything for you, including taking photos, video production, catering, social media promotion, and more. During the last Middle East Peace and Security Forum (MEPS) at the America University of Duhok (AUK) organized by Artin Crown, the event’s hashtag #MEPS22 reached more than 146 million people in 3 days. Our team of social media specialists covered the event extensively on different digital platforms and generated 58 pieces of content in 3 days.
7. Control your productions, tasks, staff members, vendors, guests' flow, technicalities, equipment, and the publicity for your event. Ensure to execute full rehearsal sessions before the event. During AUK’s 3rd Commencement Ceremony organized and planned by Artin Crown, the well-organized academic processional, and conferral of degrees, was one of the parts that distinguished between AUK’s graduation and other graduation ceremonies in Kurdistan. The credit goes to the excessive rehearsal sessions prior to the event and the commitment of the students.
8. Culmination is on your event day and your staff, vendors, and technical crew are all set and ready to have an excellent performance to mark a successful event. You do not want to be stressed about the details, but rather you would want to make sure your guests are having a good time and that your team is working in a healthy and calm environment.
9. Close-out and a clean-cut wrap-up for the event can sometimes be more important than the event itself. The event does not end as soon as the guests leave. You would want to avoid a chaotic wrap-up of the event that leaves your thoughts, and tasks scattered all over the place.
10. Celebrate the success of completing the event! You and your team have put in hard work and need a moment of appreciation to recognize your achievement while also highlighting your areas of improvement. Event management is a stressful job but having a fixed and stable team is your key to success. Make sure you appreciate them.
